This is a list of user permissions and a description of their effect.
Accounting
|
Manage accounting settings |
The user can change important accounting settings, such as whether accounting is enabled, and the dates for locked/closed accounting periods. |
|
Modify locked payments |
This permission gives an accounting administrator the ability to approve changes to documents in locked accounting periods. Such administrators can authorize another user's change at their terminal. |
|
Modify locked sales orders |
This permission gives an accounting administrator the ability to approve changes to documents in locked accounting periods. Such administrators can authorize another user's change at their terminal. |
|
Modify locked work orders |
This permission gives an accounting administrator the ability to approve changes to documents in locked accounting periods. Such administrators can authorize another user's change at their terminal. |
|
Open screen |
If the user does not have this permission, they cannot see the Accounting screen in their screen list, nor can they open it. |
|
Recreate general ledger account entries |
Whether the user can clear out and mass-recreate GL accounting entries for ranges of documents (this should be disabled except for advanced users) |
|
Use advanced mode when recreating general ledger account entries |
Whether the user can use advanced mode in the recreate GL entries dialog. This requires knowledge of the database and should only be used by advanced users. |
Approvals
|
Approve credit overrides |
Controls whether the user can view and approve credit overrides. This entails reviewing customer history and allowing an invoice to be finalized that would violate a customer's credit limit. |
|
Approve price overrides |
Controls whether the user can view and approve price overrides. This allows the user to review all document lines on which a salesman wishes to violate the current price control rules. Without approval, such documents cannot be finalized. |
|
Edit price controls |
Controls whether the user can view and edit price control rules. These rules apply to documents and prohibit finalization if any of the document lines do not meet one or more price control rules. A user must have global permission to add/edit rules that apply to all stores. |
|
Open screen |
If the user does not have this permission, they cannot see the Approvals screen in their screen list, nor can they open it. This screen is used to view and approve credit overrides, view and approve pricing overrides, and edit price control rules. |
Configuration
|
Manage adjustment types |
Gives the user permission to add/edit/delete adjustment types. The only permission levels allowed are None and Global because adjustment types are global. |
|
Manage assembly templates |
Gives the user permission to access the "Configure Assembly Templates" dialog (menu option Configure->Inventory...->Assembly Templates). Assembly templates are used to speed up creation of assemblies on the parts screen, as well as creating teardowns and bids on the vehicles screen. |
|
Manage document terms |
Gives the user permission to add/edit/delete document terms. Terms are used on invoices to track AR finance charges and on purchase orders to track AP configuration, per vendor. This permission must be set to GLOBAL to function |
|
Manage payment methods |
Gives the user permission to add/edit/delete payment methods. This permission must be set to GLOBAL to function |
|
Manage reports |
Whether the user can add/edit/delete reports, their parameters, etc. These settings affect printing at all locations. |

Manage return codes |
Ability to add/edit/delete return codes that can be selected by users when performing returns on documents |

Manage sales document types |
The user can add/edit sales order document types (permission must be set to GLOBAL to enable) |

Manage sell price classes |
Gives the user permission to add/edit/delete inventory sell price classes. These price classes are used grouping inventory items for easier customer contract pricing and discounts. The only permission levels allowed are None and Global because sell price classes are Global. |

Manage shipping methods |
Ability to add/edit/delete the shipping method list used on all document screens. The only permission levels allowed are None and Global because shipping methods are global. |

Manage stores |
Restricts a user's ability to edit existing or create new stores. The user must be given global permissions in order to create new stores |
|
Manage tax items |
Gives the user permission to add/edit/delete both AR and AP tax items. The only permission levels allowed are None and Global because tax items are global. |
Core Management
|
Discard/reject owed customer cores |
The user can discard outstanding customer cores at the store(s) specified by this permission. This causes these core records to no longer show up on the outstanding customer cores list. |
|
Discard/reject owed vendor cores |
The user can discard outstanding vendor cores at the store(s) specified by this permission. This causes these core records to no longer show up on the outstanding vendor cores list. |
|
Discard/reject returned cores |
The user can discard returned cores at the store(s) specified by this permission. This causes these core records to no longer show up in the list of returned cores ready to be inventoried. |

Open screen |
If the user does not have this permission, they cannot see the Core Management screen in their screen list, nor can they open it. |

View owed customer cores |
The user can view outstanding customer cores at the store(s) specified by this permission |

The user can add new customer records (this does not affect editing existing customers, though the user needs the ability to edit customers to add them). Global and store values are the same for this permission |

Allows the user to adjust customers' account limits on the customer screen |

Edit advanced information |
Allows the user to edit a customer's advanced information page (and several advanced fields on other tabs) |

Perform unsafe deletes |
Allows the user to delete locations that have child locations or documents/inventory that reference them. Performing a delete like this may cause some records to point to invalid locations unless corrected in the database. |
Manage Warehouse

Can manage scan jobs |
The user can use the administrate scan jobs (cancel/approve/view) page on the manage warehouse screen (either for their store(s) or globally). |

Can perform inventory adjustments |
The user can access the inventory adjustment page on the manage warehouse screen (either for their stores or globally). With this permission, the user can create documents that adjust inventory levels based on previous inventory counts. |

Can perform manual counts |
The user can access the manual inventory count page on the manage warehouse screen (either for their store(s) or globally). |
|
Open screen |
If the user does not have this permission, they cannot see the Manage Warehouse screen in their screen list, nor can they open it. |
Options
|
View options |
Whether a user may open/view the edit->options page, where many computer settings are stored. (Suggested default: True) |
Part Configuration
|
Add Models |
Allows the user to add new manufacturers, series, and models. If they want to edit existing models, they must also have the Can Add Models permission. |
|
Edit Models |
Allows the user to change information about manufacturers, models, and series including default pricing information. |
|
Edit part categories |
Whether the user is allowed to modify part categories. This includes category based pricing defaults. This permission must be granted as Global. |
|
Edit part cross references |
Whether the user is allowed to manage part cross references. This permission must be granted as Global. |
|
Edit part types |
Whether the user is allowed to modify the part type list. This includes part type Q&A, etc. This permission must be granted as Global. |

Edit service units |
Whether the user is allowed to modify service units, service unit Q&A, etc. This permission must be granted as Global. |
|
Edit vehicle models |
Whether the user is allowed to modify vehicle makes and models. This permission must be granted as Global. |
Part Modification

Access to part modification screen |
Allows the user to open the part modification screen at all. This screen gives the user a spreadsheet-style view of many inventory records at once. |

Manage advanced inventory settings |
Signifies that the user is allowed to manage advanced inventory settings, such as which fields are global, searchable from the search screen, log changes, etc |
Parts

Clone parts |
Enables the clone/copy parts button on the parts screen |

Create new conditions |
The user can enter new conditions in the parts screen condition dropdown. If the user enters a new condition in this way, it will show up in the dropdown for future parts. |

Edit attachments |
Allows the user add/edit/remove images and attachments on a part |
|
Edit GL category |
The user can edit the GL category on inventory items globally or at the user's store(s). |
|
Edit part information |
Whether the user can change informational fields on the parts creen like description, oem number, etc. |
|
Edit part locations |
Whether the user can change a part's location information. |
|
Edit part prices |
Whether the user can change any of the pricing or core pricing on a part. |
|
Edit part quantity |
The user can perform manual inventory quantity adjustments. |
|
Edit part statuses |
Whether the user can change an inventory item's status. |

Edit replacement cost |
The user edit the cost field on the part information tab. For replenishable parts, this is the replenishment cost. For vehicle parts, this value represents the static vehicle cost allocation on the part. |

Edit stocking data |
The user can edit the primary stocking level fields, such as stock type, stock method, minimum, and maximum quantity. |
|
Insert/Update Parts |
Whether the user can save or create part records on the parts screen |

Load/View Parts Detail |
Whether the user can open parts on the parts screen |

Replicate parts |
Allows the user to use the 'replicate inventory' function on the parts screen. The user can only replicate parts to stores they have this permission at (or all stores for Global permission). |

View costs |
Whether the user is allowed to view cost and average cost. This is required to modify replenishment cost as well. |
Payment Entry

Change total of saved payments |
Defines if the user is allowed to perform any operation that would affect the total of a payment that has already been saved. This can help ensure that payments are not adjusted after they hae been posted. This permission does not prevent the user from changing things about the payment that don't affect the total (such as notes or document allocations). |

Edit existing payments |
Whether the user can edit saved payments on a customer |

Perform refunds on credit terminal |
Defines if the user is allowed to refund money to the customer using the credit card terminal. |

Perform voids on credit terminal |

Purchase from inactive vendors |
The user can issue POs to inactive vendors. Without this access, the user is notified that the vendor has been marked as inactive and that they should use another. |

Allows the user to receive stock on POs and correct received quantities on saved postings. A user needs this permission to mark POs as 'Done Receiving' |

Finalize without choosing serial #s |
The user can finalize a sales order despite one or more items not having sufficient serial #s chosen. This permission allows the user to override the warning that pops up telling the user that they must choose a serial # before continuing. |

Print documents with price violations |
Whether the user can print SO documents if there are any outstanding price violations. (Price rules can be configured and price violations can be reviewed/approved on the Approvals screen) |
|
Quote TForce shipments |
The user can send the contents of a sales order to TForce Worldwide to get a shipping quote. |
|
Reopen closed/finalized quotes |
Allows the user to reopen quote sales orders (ones that don't affect inventory) that have been closed/expired/finalized. |
|
Reopen finalized invoices |
Allows the user to reopen invoice sales orders (ones that do affect inventory) that have been closed/expired/finalized. Notice: this process must attempt to reverse accounting, inventory adjustments, etc. |
|
Return expired/past-due items |
Whether the user can add return items to an invoice after their "time to return" has passed. |
|
Return inventory |
The user is allowed to do returns on inventory. If disabled, no items with a negative quantity may appear on an invoice. |
|
Schedule TForce shipments |
The user can finalize/schedule shipment quotes. |
|
Sell to inactive customers |
This controls whether the user is able to add inactive customers to invoices. Choose store to allow the user to do this just for invoices at his store, global for everywhere. |
|
Send To SAV |
If the user does not have this permission, they cannot send parts to the SAV website |
|
Specify the average cost for non-stocked/miscellaneous items |
This allows a user to set the average cost for non-stocked items sold on sales orders globally or at the users stores. This also requires that this feature be enabled in the company settings (not recommended due to possible accounting inconsistancies and errors) |

View costs |
Whether the user can view cost data on invoices (set to store for invoices at their store or globally for all) |
|
View sales orders |
The user can open and view the detail information of sales orders in the system |

Void sales orders |
Whether the user is able to void a sales order |
Search
|
Perform potentially slow part searches |
Allows the user to perform searches that the system has predicted might take longer to execute |

Search parts |
Defines what locations (if any) the user is allowed to search. This includes the smart search boxes on all the document screens. |

Defines what locations (if any) the user is allowed to search for vehicles. |
Settings

Global settings administrator |
A global administrator can manage global level settings |

Transaction List
|
Manage hidden search options |
If the user does not have this permission, they cannot hide search options, show hidden options, or view previously hidden options. |

Manage saved searches |
Allows the user to edit/replace/delete shared saved searches that were created by other individuals. Global allows a user to manage saved searches created at any store. |
|
Open screen |
If the user does not have this permission, they cannot see the Transaction List screen, which is used to search document history. |
Transfer Orders
|
Administrate other stores' transfer orders |
Whether a user may edit transfer orders that are neither to or from the user's store. (Suggested default: False) |

This is whether a user can save a TO when any items on the screen have received greater quantity than serial #'s entered |

View transfer orders |
The user can open and view the detailed information of transfer orders in the system. Store level permission allows the user to view transfer orders to or from one of the user's stores. |

Whether the user can void transfer orders or not (store level permission considers the source *or* destination of the transfer) |
Vehicles

Advanced whole unit editing |
The user can open/edit whole units on the parts screen either globally or at the user's store(s). |

Change stock availability |
Allows user to use the 'Available' checkbox to change whole unit stocking levels without using a PO (suggested for advanced users only) |

Whether the user is allowed to modify the status and user status on the vehicles screen. A user with this permission must still have the corresponding part permission in order to cascade vehicle status changes to associated parts. |

Edit stock number |
Whether the user is allowed to modify vehicle stock #'s. If the user doesn not have this permission, all new vehicles they create will get a stock # assigned to them automatically. |

Allows user to view vehicle costs and profits on the vehicle screen |
Vendors
|
Edit vendors |
Enables the user to add/edit vendors using the vendor screen |

Defines if the user is allowed to merge existing customers. Customers are treated as global, so a user must have global merge permission to perform this operation. |

Search other purchase agents' vendors |
Whether the user can search for vendors that have a different purchase agent assigned. Without this permission, the user can only find vendors assigned to them (or those with no agent assignment) on the vendor list or purchase orders screens. |
Work Clock

Controls if the user can make changes/add parts from Work Clock. |

Work Clock Administrator |
Controls whether the user can perform administrative tasks in Work Clock (Global permission level required) |
Work Orders
|
Add misc parts |
