All inventory items in ITrack have a Status. The status affects searching for items, since you’ll usually only want to find items that are available. Some statuses will automatically be assigned when actions take place on an item. For example, when you sell an item on a Sales Order, that item will get marked as Sold when you finalize the Sales Order.
It’s a good idea for all inventory status changes to be represented by a document. For example, a vehicle in the Bid status should have a Bid document assigned to it. When the bid becomes accepted, you should create a Purchase Order to receive the inventory into your stock which will mark it Available. When you sell a part, you should create a Sales Order which will mark the item as Sold. You can change the status of items manually, but this is usually only done to correct errors and won’t have any history tracking the way a document does.
Possible Statuses
A - Available. The item is in inventory and not otherwise used.
H - On Hold. The item has been marked as on hold by a user.
Note: item quantity may be held by a pending document such as a Work Order or a Quote, but the overall item status is still Available until the item is sold or consumed.
S - Sold. The item was sold.
C - Crushed. The item was marked crushed or scrapped.
D - Deleted. The item was deleted, usually this is done to correct an error.
T - Transferred. The item was transferred to a different store, and may be available there.
B - Bidding. The Bidding status is used for vehicles that have not been purchased yet, but are in the process of being bid on.
